How to Create an Email Account in Plesk

Plesk lets you create email accounts for each domain you host. Each email account comes with a mailbox, webmail access, and the ability to set up forwarding and auto-replies. This guide walks you through creating a new email account. Creating an Email Account 1. Log in to Plesk. 2. Go to Mail. 3. Click Create Email Address. 4. Fill in the required fields: - Email address: Type the part before the @ sign (e.g., info). If you have multiple domains, select the domain from the dropdown. - External email address: Enter a recovery email address for password reset purposes. - Password: Set a strong password (at least 5 characters, mix of letters, numbers, and symbols). - Mailbox: Keep this checked to create a mailbox. Uncheck it only if you want to use this address as a forwarder only. - Mailbox size: Set the storage limit or use the default defined by your hosting plan. 5. Click OK. 6. The email address will appear in the list under Mail. Accessing Your Email After creating an email account, you can access it in two ways: - Webmail: Go to https://webmail.yourdomain.com and log in with the full email address and password. - Email client: Configure an email client (Outlook, Thunderbird, Apple Mail) using the settings in the Mail section of Plesk. Email Client Settings (IMAP/SMTP) - Incoming server (IMAP): mail.yourdomain.com, Port 993 (SSL) or 143 (non-SSL) - Outgoing server (SMTP): mail.yourdomain.com, Port 465 (SSL) or 587 (STARTTLS) - Username: Full email address (e.g., info@yourdomain.com) - Password: The password you set when creating the email account Important Notes - The number of email accounts you can create is limited by your hosting plan. - If you enable "Can be used to log in to Plesk", the email account holder can log in to the Plesk control panel. - Mailbox size counts towards your subscription disk space. If the mailbox is full, new emails will not be delivered. Troubleshooting "Maximum number of mail accounts reached": - Contact your hosting provider to increase your email account limit or upgrade your plan. Cannot access webmail: - Ensure webmail is enabled for your domain: Websites & Domains โ†’ Mail Settings โ†’ Webmail is set to Roundcube. - Try clearing your browser cache. Email client cannot connect: - Verify the mail server address is mail.yourdomain.com. - Ensure SSL/TLS is enabled with the correct port numbers. - Check that the username is the full email address, not just the part before the @ sign. Related Guides - Enable mail on your domain first - Connect it in a mail client - Or use webmail

How to Set Up Email Forwarding in Plesk

Email forwarding automatically sends incoming messages to another email address. You can set up forwarding to a single address or multiple addresses. This is useful when you want to receive emails from multiple addresses in one inbox, or when forwarding to a colleague. Setting Up Email Forwarding 1. Log in to Plesk. 2. Go to Mail. 3. Click the email address you want to configure. 4. Go to the Forwarding tab. 5. Select Switch on mail forwarding. 6. In the Forward to field, enter one or more email addresses to forward messages to. Separate multiple addresses with commas, spaces, or place each on a new line. 7. Click OK. Forwarding Without Keeping a Copy If you want to forward all mail without storing a copy in the original mailbox: 1. Go to Mail. 2. Click the email address. 3. Clear the Mailbox checkbox. 4. Click OK. This makes the address a forwarder only โ€” no mailbox is created, and no copies are kept. Important Notes - Forwarding to multiple addresses is supported. Each recipient will receive a copy of the incoming email. - If you disable the mailbox, emails will only be forwarded โ€” no copies will be stored or accessible via webmail. - Forwarding loops can occur if you set up forwarding between two addresses that forward to each other. Always avoid circular forwarding. Troubleshooting Forwarded emails are not arriving: - Verify the forwarding email address is spelled correctly. - Check the recipient spam or junk folder. - Ensure forwarding is turned on (the checkbox is selected). Want to stop forwarding: - Go to Mail โ†’ click the email address โ†’ Forwarding tab โ†’ clear Switch on mail forwarding โ†’ OK. Related Guides - Use aliases instead - Add an auto-reply - Create the mailbox

How to Set Up Spam Filtering in Plesk

Plesk includes SpamAssassin, a server-side spam filter that scans incoming emails and scores them based on spam characteristics. You can configure spam filtering per email address to control how spam is handled. This guide covers setting up and fine-tuning spam filtering. Enabling Spam Filtering for an Email Address 1. Log in to Plesk. 2. Go to Mail. 3. Click the email address you want to protect. 4. Go to the Spam Filter tab. 5. Select Switch on spam filtering for this email address. 6. Choose how spam is handled: - Mark spam messages by adding text to subject: Adds a label (e.g., *****SPAM*****) to the subject line. You can then set up rules in your email client to sort these messages. - Delete all spam messages: Automatically deletes emails identified as spam. Use with caution โ€” legitimate emails may be deleted. - Move spam to the Spam folder: Moves spam to a Spam IMAP folder. Messages in this folder are automatically deleted after 30 days. Review regularly to catch false positives. 7. Click OK. Adjusting Spam Filter Sensitivity 1. On the Spam Filter tab, click Show Advanced Settings. 2. In the Spam filter sensitivity field, set a value: - Default (7): Balanced for most situations. - Lower values (4-6): More aggressive โ€” catches more spam but may produce more false positives. - Higher values (8-10): Less aggressive โ€” fewer false positives but more spam may get through. 3. Click OK. Whitelisting and Blacklisting To allow specific senders through or block specific domains: 1. On the Spam Filter tab, find the White list and Black list fields. Whitelist (trusted senders): - Enter email addresses or domains (e.g., contact@trusted.com or *@trusted.com). - Emails from these senders will not be marked as spam. Blacklist (blocked senders): - Enter email addresses or domains you want to block (e.g., spammer@bad.com or *@spamdomain.com). Training the Spam Filter If you use the Move spam to the Spam folder option with IMAP access: - Move spam messages from Inbox to the Spam folder to help the filter learn. - Move legitimate messages from Spam back to Inbox to reduce false positives. - Over time, the filter becomes more accurate for your email patterns. Important Notes - The "Move spam to Spam folder" option only works with IMAP connections, not POP3. - Messages in the Spam folder are automatically deleted after 30 days. Review this folder regularly. - If SpamAssassin is not enabled on the server, contact your hosting provider. Troubleshooting Legitimate emails are being marked as spam: - Add the sender to the White list. - Increase the spam filter sensitivity value. Spam is still getting through: - Decrease the spam filter sensitivity value. - Add the spam source to the Black list. Spam filter option is not available: - SpamAssassin may not be enabled on your server. Contact your hosting provider. How to Set Up an Auto-Reply in Plesk

The auto-reply feature in Plesk automatically sends a response to anyone who emails you. This is useful when you are out of the office, on holiday, or otherwise unavailable. You can set a start and end date so the auto-reply stops automatically. Setting Up an Auto-Reply 1. Log in to Plesk. 2. Go to Mail. 3. Click the email address you want to configure. 4. Go to the Auto-Reply tab. 5. Select Switch on auto-reply. 6. Fill in the auto-reply settings: - Auto-reply message subject: Enter a subject line (e.g., "Out of Office: Returning 15 April"). - Message format: Choose Plain text (recommended for compatibility) or HTML. - Message text: Write your auto-reply message. Include: - The dates you are away. - When you expect to return. - An alternative contact person (if applicable). - Forward to: Optionally forward incoming messages to another email address while the auto-reply is active. - Send an automatic response to a unique email address no more than: Set how many times per day the auto-reply is sent to the same sender (default: 1). This prevents spamming frequent senders. - Switch off auto-reply on: Set an end date for the auto-reply to stop automatically. 7. Click OK. Disabling the Auto-Reply 1. Go to Mail โ†’ click the email address โ†’ Auto-Reply tab. 2. Clear Switch on auto-reply. 3. Click OK. Alternatively, if you set an end date, the auto-reply will disable itself automatically. Important Notes - The auto-reply is sent per sender per day by default โ€” a sender who emails you multiple times in one day will only receive one auto-reply. - Always set an end date if you know when you will return. This prevents the auto-reply from running indefinitely. - Do not set up both a Plesk auto-reply and a Roundcube vacation message for the same email address โ€” this will cause duplicate responses. Troubleshooting Auto-reply is not sending: - Verify the auto-reply toggle is switched on and you clicked OK. - Check that the end date has not already passed. Sender receives multiple auto-replies: - Check the "no more than X times per day" setting โ€” it may be set too high. How to Access and Use Webmail in Plesk

Webmail lets you access your email from any web browser without needing to set up an email client. Plesk supports Roundcube as the webmail client. This guide explains how to access webmail and use it to manage your emails. Accessing Webmail 1. Open your web browser. 2. Navigate to https://webmail.yourdomain.com 3. Enter your full email address as the username (e.g., info@yourdomain.com). 4. Enter your email password. 5. Click Log in. You can also access webmail from Plesk: 1. Log in to Plesk. 2. Go to Mail. 3. Click the Webmail icon next to the email address. Enabling Roundcube for Your Domain 1. In Plesk, go to Websites & Domains. 2. Click the domain name. 3. Go to Hosting & DNS โ†’ Mail Settings. 4. Under Webmail, select Roundcube from the dropdown. 5. Click OK or Apply. Essential Webmail Features (Roundcube) - Reading and sending emails: Click on emails to read them. Click Compose to write a new message. - Folders: Use the folder list in the left sidebar to navigate between Inbox, Sent, Drafts, Trash, and Spam. - Contacts: Manage your address book under the Contacts tab. - Settings: Access preferences, identities, filters, and vacation settings under the Settings gear icon. - Search: Use the search bar to find emails by sender, subject, or content. Important Notes - Always use https:// when accessing webmail to ensure your connection is encrypted. - Webmail credentials are the same as your email account credentials, not your Plesk login. - If webmail is not accessible, check that Roundcube is enabled in your domain Mail Settings. - The Horde webmail client has been deprecated. If your domain still uses Horde, switch to Roundcube. Troubleshooting Webmail page does not load: - Ensure you are using https://webmail.yourdomain.com. - Try clearing your browser cache and cookies. - Verify Roundcube is selected in Websites & Domains โ†’ Mail Settings. "Login failed" error in webmail: - Use the full email address as the username. - Verify your password is correct. Reset it in Plesk under Mail if needed. Webmail URL returns an error: - The webmail subdomain may not be configured. Contact your hosting provider. - Try accessing webmail via Plesk: Mail โ†’ click the Webmail icon. How to Set Up Email Filters in Plesk

Plesk lets you create email filters (also called mail rules) to automatically sort, forward, or manage incoming messages. This is useful for organising newsletters, filtering spam, or redirecting specific emails. How to create an email filter 1. Log in to Plesk. 2. Go to Mail โ†’ click the email address you want to add a filter to. 3. Click the Filters tab. 4. Click Add Filter. 5. Enter a filter name to identify the rule. 6. Set the conditions โ€” choose which part of the message to check (From, To, Subject, etc.) and the matching criteria (contains, is equal to, etc.). 7. Set the action โ€” what happens when a message matches (move to folder, redirect, delete, etc.). 8. Click OK. Available filter actions - Move to folder โ€” automatically sorts the email into a specific mailbox folder. - Redirect to โ€” forwards the email to another address. - Delete โ€” removes the message automatically. - Mark as read โ€” marks the message as already read. - Reply with โ€” sends an automatic reply to the sender. You can combine multiple conditions using all conditions (AND) or any condition (OR) logic. Editing or removing a filter 1. Go to Mail โ†’ click the email address โ†’ Filters tab. 2. Click the filter name to edit it, or select the checkbox and click Remove to delete it. Filters are processed in the order they appear. Use the Move Up / Move Down buttons to change priority. Server-wide mail filters (admins only) Administrators can create filters that apply to all mailboxes on the server: 1. Go to Tools & Settings โ†’ Mail Server Settings. 2. Click Filters and add a server-wide rule. Server-wide filters run before individual mailbox filters. Important notes - Filters only apply to new incoming messages โ€” they don't process existing emails in your mailbox. - If you use an external email client (Outlook, Thunderbird), Plesk filters run on the server before your client downloads the message. - Too many redirect filters can cause mail loops. Avoid redirecting to addresses that redirect back. - SpamAssassin is separate from mail filters. Configure spam filtering under the Spam Filter settings for the mailbox. Troubleshooting - Filter not working: Check that the condition matches exactly. Email headers are case-sensitive in some configurations. Test with a simple "Subject contains" rule first. - Filters tab missing: Your hosting plan may not include mail filtering. Contact your provider. - Emails still appearing in inbox: Check filter order โ€” an earlier filter may be catching the message first. Also verify the action is set correctly. Need help? How to Enable DKIM Signing for Your Domain in Plesk

DKIM (DomainKeys Identified Mail) adds a digital signature to every outgoing email from your domain. Receiving mail servers use this signature to verify the message actually came from your domain and was not tampered with in transit. Enabling DKIM improves deliverability and helps prevent your messages from being flagged as spam. Step 1: Open mail settings for your domain 1. Log in to Plesk. 2. Go to Websites & Domains and find your domain. 3. Click the Mail tab, then click Mail Settings. Step 2: Enable DKIM signing 1. Select the checkbox Use DKIM spam protection system to sign outgoing email messages. 2. Click Apply (or OK). If your domain uses the Plesk DNS server, DKIM is now active. Plesk automatically adds two DNS records to your domain zone: - default._domainkey.yourdomain.com โ€” the public key used to verify signatures. - _domainkey.yourdomain.com โ€” the DKIM policy. Step 3: External DNS only โ€” add records manually If your domain uses an external DNS server (e.g. Cloudflare), Plesk cannot add the records for you: 1. After enabling DKIM, click the How to configure external DNS link that appears. 2. Copy the two DNS records shown. 3. Log in to your external DNS provider and add both as TXT records. 4. Save your changes. DNS propagation may take up to 24โ€“48 hours. Step 4: Verify DKIM is working 1. Send a test email from your domain to a Gmail or Outlook address. 2. Open the received email and view the message headers (in Gmail: three dots > Show original). 3. Look for DKIM=pass in the Authentication-Results header. You can also use MXToolbox DKIM Lookup โ€” enter default._domainkey.yourdomain.com as the selector. Domain aliases If you use domain aliases to send email, add the same DKIM DNS records for each alias. Use the same record values but replace the domain name with the alias name. Important notes - DKIM signing must be enabled at the server level by your hosting provider before you can activate it. If the checkbox is not visible, contact support. - DKIM works best alongside SPF and DMARC. Together, these three form complete email authentication. - Enabling DKIM does not affect incoming email โ€” it only signs outgoing messages. - New domains with DNS and mail hosting in Plesk may have DKIM on by default. Troubleshooting DKIM checkbox is not visible in Mail Settings: - Your hosting provider has not enabled DKIM on the server. Contact them to request it. Emails still show DKIM=fail after enabling: - If you use external DNS, confirm the TXT records were added correctly using MXToolbox. - DNS propagation can take up to 48 hours. Wait and test again. - Verify the selector matches โ€” Plesk uses default as the selector name. DKIM works for the main domain but not for aliases: - Add the DKIM DNS records for each domain alias separately using the same key values. If you need help enabling DKIM, contact our support team. How to Create an Email Mailing List in Plesk

A mailing list lets you send a single email to multiple recipients at once โ€” useful for newsletters, announcements, and group discussions. In Plesk, mailing lists are powered by Mailman and can be created from the customer panel. Before you start - Your hosting provider must have Mailman installed and the mailing list service enabled for your subscription. - You need at least one email address under your domain to act as the list administrator. - If Mailing Lists does not appear in your panel, contact your hosting provider. Step 1: Open the mailing lists page 1. Log in to Plesk. 2. Go to Websites & Domains, select your domain. 3. Click the Mail tab, then click Mailing Lists. Step 2: Create a mailing list 1. Click Create Mailing List. 2. Enter the list name โ€” the part before the @ sign (e.g. newsletter). 3. Keep the Switched on checkbox selected. 4. Enter the list administrator email address. 5. Enter a password for the list administrator. Save this โ€” you need it to manage the list later. 6. In the Subscribers field, enter subscriber email addresses, one per line. 7. Keep Notify administrator on the mailing list creation selected. 8. Click OK. To send a message to all subscribers, email the list address (e.g. newsletter@yourdomain.com). Step 3: Manage subscribers 1. Go to Mail tab > Mailing Lists. 2. Click the mailing list name. 3. Add or remove email addresses in the Subscribers field. 4. Click OK. Step 4: Advanced management via Mailman For moderation, archiving, welcome messages, or digest mode: 1. Go to Mailing Lists and click Manage the list next to your list. 2. The Mailman web interface opens in a new tab. 3. Enter the list administrator password and click Let me in. Removing a mailing list 1. Go to Mail tab > Mailing Lists. 2. Select the checkbox next to the list and click Remove. 3. Confirm with Yes. Important notes - Plesk does not limit subscribers per list, but your hosting plan may limit the number of mailing lists. - The Mailman web interface uses a self-signed SSL certificate โ€” your browser may show a warning. This is normal. - Mailing lists cannot run alongside outgoing mail limits. If your provider has mail limits enabled, lists may not work. Troubleshooting Mailing Lists option not visible: - Mailman may not be installed or the service is disabled for your subscription. Contact your hosting provider. Subscribers not receiving emails: - Verify subscriber addresses are correct and the list is switched on. - Ask subscribers to check spam/junk folders. - Ensure your domain has valid SPF and DKIM records. Cannot access the Mailman admin interface: - Confirm you are using the correct list administrator password. Reset it by editing the list in Plesk. If you need help with mailing lists, contact our support team. Related Guides - Set up domain mail first - Forwarding for small groups - Aliases as an alternative

How to Create Email Aliases in Plesk

An email alias is an additional email address that delivers messages to an existing mailbox. For example, you could create sales@yourdomain.com as an alias for info@yourdomain.com โ€” any email sent to the alias arrives in the main mailbox. This guide shows you how to create and manage email aliases in Plesk. When to use an alias vs. a separate mailbox - Use an alias when you want multiple addresses to deliver to the same inbox. Common examples: sales@, support@, hello@ all pointing to your main email account. - Use a separate mailbox when the address needs its own inbox, storage, and login credentials. Aliases do not have their own mailbox, password, or storage โ€” they are simply alternative addresses for an existing account. Creating an email alias 1. Log in to Plesk. 2. Go to Mail and click the email address you want to add an alias to. 3. Click the Email Aliases tab. 4. In the Email alias field, type the alias address (just the part before the @). 5. To add more aliases, click Add email alias and enter each one. 6. Click OK to save. Messages sent to any of the alias addresses will now appear in the main mailbox. Removing an email alias 1. Go to Mail and click the email address that has the alias. 2. Click the Email Aliases tab. 3. Click the Remove link next to the alias you want to delete. Alias vs. forwarding Aliases and mail forwarding both redirect email, but they work differently: - Alias: delivers to the same mailbox on the same domain. No separate account needed. - Forwarding: sends a copy of incoming mail to a different email address, which can be on an external domain (e.g. Gmail). You set up forwarding under the Forwarding tab of the email account. Verifying your alias works After creating the alias, send a test email to the alias address from an external account. Check that the message appears in the primary mailbox. Reply to the test email to confirm outbound mail works as expected. Important notes - Aliases are included in your hosting plan's email allocation โ€” check your plan limits if you create many aliases. - When you reply to an email received via an alias, the reply is sent from the primary mailbox address unless your email client is configured to use the alias as a sender identity. - Aliases work alongside spam filtering โ€” messages are filtered before being delivered to the mailbox. - You can create multiple aliases for a single mailbox. How to Set Up an Email Client (IMAP/SMTP) with Plesk

You can access your Plesk email through webmail, but for a better experience โ€” offline access, notifications, better performance โ€” most people use a dedicated email client like Microsoft Outlook, Mozilla Thunderbird, Apple Mail, or the mail app on their phone. This guide covers setting up your Plesk email account in any email client using IMAP and SMTP. Step 1: find your mail server settings 1. Log in to your Plesk control panel. 2. Go to Websites & Domains. 3. Find your domain and click Mail. 4. Click the email account you want to set up. 5. Note the settings displayed โ€” you will need these for your email client: - IMAP server: your domain name (e.g., mail.yourdomain.com) or the server IP - IMAP port: 993 (SSL/TLS) or 143 (STARTTLS) - SMTP server: same as IMAP server - SMTP port: 465 (SSL/TLS) or 587 (STARTTLS) Step 2: add the account in your email client The exact steps vary by client, but the information you need to enter is the same: - Email address: your full email address (e.g., info@yourdomain.com) - Password: the password for that email account - Account type: IMAP (recommended โ€” keeps mail synced across devices) - Incoming mail server (IMAP): your domain name or server IP - IMAP port: 993 with SSL/TLS - Outgoing mail server (SMTP): your domain name or server IP - SMTP port: 465 with SSL/TLS (or 587 with STARTTLS) - Require authentication: yes โ€” use the same email address and password as the incoming server Microsoft Outlook 1. Open Outlook and go to File > Add Account. 2. Enter your email address and click Connect. 3. Outlook may auto-detect settings. If prompted, enter the manual settings above. Mozilla Thunderbird 1. Open Thunderbird and go to Account Settings > Account Actions > Add Mail Account. 2. Enter your name, email address, and password, then click Continue. 3. Thunderbird will detect settings. If not, click Manual config and enter the settings above. Apple Mail (macOS/iOS) 1. Go to Settings (or System Settings) > Mail > Accounts > Add Account. 2. Select Other (or "Add Mail Account") and enter your email address and password. 3. If prompted for manual settings, enter the server details above. Step 3: test the setup 1. Send a test email to another address (your personal Gmail, for example). 2. Reply to that email from the other address and check if it arrives in your Plesk email client. 3. If both directions work, your setup is complete. IMAP vs POP3 โ€” which should you use? - IMAP (recommended) โ€” emails stay on the server and sync across all your devices. Read a message on your phone and it shows as read on your computer too. - POP3 โ€” downloads emails to your device and removes them from the server. Only use this if you want to store mail locally and have limited server storage. Not recommended for most users. Important notes - Always use SSL/TLS encryption. Unencrypted connections (ports 143, 25, 110) are not secure and may be blocked by your hosting provider. - If your email client cannot connect, double-check that you are using the correct password โ€” this is the email account password, not your Plesk panel login password. - Some internet service providers (ISPs) block outgoing SMTP on port 25. Use port 465 (SSL) or 587 (STARTTLS) instead. - If you have enabled DKIM signing in Plesk, your outgoing emails will be signed automatically โ€” no extra configuration needed in your email client. - For mobile devices, search your app store for the official email app or use Gmail app with IMAP access. Troubleshooting - "Cannot connect to server"? Verify the server hostname โ€” try the server IP address if your domain is not yet pointing to the hosting. - "Authentication failed"? Make sure you are using the email account password, not the Plesk login password. Reset the email password in Plesk if needed. - Can receive but not send? Check that SMTP authentication is enabled in your email client. Also verify you are using port 465 or 587, not port 25. - Connection times out? Your firewall or ISP may be blocking the ports. Try a different network (e.g., mobile hotspot) to test. - Emails going to spam? Make sure DKIM, SPF, and DMARC records are configured for your domain in Plesk.
